THE CHECKOUT PROCESS: RULES AND GUIDELINES

  • Be kind. This is a student-run operation, and these students are your peers. Plan accordingly.
  • Checkout staff are not responsible for things like parking tickets, rush orders, being late to class, etc... Plan for the worst-case scenarios.
  • Remember that this is a resource and a privilege, not a right, and this privilege can be revoked.

MAKING A RESERVATION

  • Create a Booqable account and use the same information every time. Use your UI student email. 
    • All students must sign and complete the digital release form during account creation.
  • Reservations are limited to 48-hour periods unless given prior approval from a faculty member.
    • Weekends are free - you may schedule to pick up gear Thursday to return Monday, or Friday and return Tuesday.
    • It's best to make requests at least 24 hours/one business day in advance of the time you wish to pick up the gear
  • You'll get an email confirming your reservation - this acts as your confirmation as well, but does not guarantee that all of your requested items will be available. It will depend on all items being returned on time by your classmates, so some items may not be available at the time of your scheduled pickup.
    • Some items will require you to respond to your confirmation email, such as a Studio reservation.

PICKING UP GEAR

  • Show up on time for your scheduled pick-up - please let us know if you will be late - you may need to reschedule.
    • Late arrivals go to the back of the line should there be others waiting to pick up their gear - no exceptions
    • Anyone more than 15 minutes late without contact risks losing their reserved equipment and will receive a strike against their account.
    • If you are more than an hour late without contacting checkout, your order will be canceled, and your gear freed up for others to reserve.
  • Plan time for your order to be packed in front of you - there is not always enough time to pre-pack your equipment.
    • This can take up to an hour, depending on the size of your order and the amount of orders on any given day.
  • Plan time for yourself to inspect and test all of your equipment.
    • This can also take up to an hour, depending on the size of your order and your familiarity with the equipment.
    • This time is for your own benefit. Once you leave the building you are financially responsible for any and all damaged or missing equipment.
    • During this time, Checkout staff will also be happy to help review any piece of equipment you're less familiar with.
  • YOU ARE RESPONSIBLE TO CONFIRM ALL GEAR IS INCLUDED AND FUNCTIONING PROPERLY
    • Once you leave the facility, it will be assumed that all gear was working and functioning properly before you left, so any gear that is broken, missing, or damaged before you took possession is your responsibility to identify and inform checkout staff.

USING THE GEAR

  • Once you leave with your gear, anything that is returned broken, damaged, or missing is YOUR FINANCIAL RESPONSIBILITY.
  • While the gear is in your possession, you are fully and financially responsible for the safe operation and storage of the equipment.
    • Do not leave equipment in your car overnight.
    • Do not leave equipment in extreme temperatures (hot or cold) for long periods of time.
  • Please treat this gear as though it is your own - broken gear may take several weeks to replace, causing delays and disruptions for you and your classmates
  • Broken, damaged, or missing gear will result in one, two, or three strikes against your account, depending on the severity of the situation.
    • Strikes will prevent you from reserving equipment for a select period of time. Recurring strikes can result in a permanent ban from reserving equipment.

RETURNING GEAR

  • Return your gear at the time you stated on your original request.
    • Review your contract if you can't remember your return time.
    • Late returns will result in a strike against your account
  • Returns may take up to 30 minutes as staff review your items. Plan accordingly, or you may drop off and be emailed with issues.
  • NEVER LEAVE YOUR GEAR IN THE HALLWAY
    • Even if someone was scheduled to be there and isn't, do not leave gear in the hallway
    • The gear is considered your responsibility until it is checked back in by an employee
  • All gear must be returned in the same manner it was received
    • Equipment must be stored properly in its case.
    • All items must be present and functioning properly.
  • It is the best policy to be open and honest about any damage that may have occurred to the equipment. Checkout staff will work with you to figure out the best course of action moving forward, and the more forthright you are with them, the more willing to help you they will be.
    • Trying to hide or lie about broken, damaged, or missing gear will result in a ban of rentals for the rest of the semester and a bill for the financial damages.
